Meet Gulf Coast Endodontics.
Gulf Coast Endodontics does root canals and other endodontic care in four offices around Houston, in Pasadena, Houston, Cypress and Baytown, all on EndoVision, and is part of a 230-office group rollout.

The challenge
Patients who do not come back
Endodontics runs on referrals: one or two visits, and rarely a next appointment to collect at.
Balances that sat on a statement
Overdue families paid $3,406 between visits, and only 19 of them paid at all. Patients owed $658K, $526K of it over 90 days old.
Keyed at four front desks
Every payment was typed into EndoVision by hand, at four different offices.
What changed
A way to pay that suits the patient
ScoutIQ card terminals went in at every front desk. Patients who leave with a balance get a text, an email or a letter, and pay by link, by card over the phone or with the card on file.
Posted and reconciled at all four offices
Every payment posts and reconciles in EndoVision by itself: 1,622 of 1,624, $629,249 in all, so the front desks barely touch it.
The outcome
Overdue families paid $53,299 between visits, 16 times as much, and 411 of them paid against 19. Gulf Coast recovered $49,983 of old balances above its own pace, the net collection rate rose to 99.7% from 93.1%, and balances over 90 days fell 20%.

$143K a year and 2,065 staff hours a year across the four offices, on Gulf Coast’s own volumes. The $49,983 recovered is measured.
“Patients get a text, an email or a letter, pay however suits them, and every payment is posted and reconciled in EndoVision on its own at all four offices. It is so easy that our front desks barely touch it. We have collected almost $50,000 in old balances, overdue patients pay 16 times as much as before, and our collection rate went from 93% to 99.7%.”
How it was measured.
ScoutIQ’s standard definitionsMeasured in Gulf Coast’s own EndoVision ledger and ScoutIQ payment records, office by office. Payment counts, posting results and reminder settings were rechecked against ScoutIQ’s records.
Before holds as many open days as the period with ScoutIQ and ends before each office’s first ScoutIQ payment. The front desks take payments Monday to Friday; ScoutIQ online payments still arrive on weekends and holidays, and count with ScoutIQ.
Overdue means 31 or more days past due, patient portion. Between visits means on a day the family had no procedure. Recovered counts what overdue families paid above each office’s own pace before ScoutIQ, not everything they paid.
The patient collection rate is patient payments as a share of payments plus balances over 30 days old at the end of each window. Balances leave out 744 accounts staff wrote off as over a year old, on both dates.
Yearly value is worked out on Gulf Coast’s own volumes, the latest 30 days of payments and staff time at $32 to $40 an hour; each figure is the 75th percentile of the conservative-to-realistic range, rounded up. The group figure assumes every office runs like Gulf Coast’s four: an order of magnitude, not a forecast.
The terms, defined: days in A/R, net collection rate, write-off vs adjustment, payment reconciliation.
Prepared by ScoutIQ from Gulf Coast Endodontics’s own practice and payment records. The yearly value is worked out on the practice’s own volumes. Results vary by practice.
